Frequently asked, answered plainly
FAQ — the eight answers.
Public reading, no login required. If the question you came with isn't here, the registry desk answers email.
01What exactly happens when something expires?+
Amber thirty days out, red at zero, related vehicles can no longer be dispatched, and the renewal button appears beside the record. A person still has to confirm the renewal; the system notes who, and when.
02Can records be edited backwards afterwards?+
Edits append; nothing overwrites. Every change links to the one before it, so a silent correction breaks the chain visibly. Think ledger book with numbered-and-stamped pages, not an editable spreadsheet.
03Who outside the office can see anything?+
Only what the public verification page shows — whether a document number exists. Register content stays behind staff logins, split by organisation, split again by office role.
04Who is allowed to approve something?+
Approvals sit in maker–checker lanes: one person drafts, a different person approves, and the approver's phone provides a six-digit code each time. Nobody can approve their own work, and the register keeps the pair of names forever.
05What does the public verification page prove — and not prove?+
It proves a document number exists in the register. It does not reveal product details, pricing, personnel, or any field of the record itself — existence, nothing more.
06Can a vehicle be dispatched without its papers?+
No. Each vehicle needs all four mandated transit documents current — motor vehicle licence, roadworthiness, insurance-GIT, carriage permit. One missing or expired paper flips its badge to DO NOT DISPATCH until a named operator restores it with real dates.
07How do the letters and reports prove themselves?+
Every PDF exports with a digital fingerprint (SHA-256) of its own contents, plus a unique generation reference. Change even one letter of the file afterwards and the fingerprint no longer matches — the stamp surrounds the paper, not the topic.
08How do we get access, and what does it cost?+
Access is by request to the registry office (ncipharmltd@gmail.com) — this is an operational register of NCI Pharm. Chem. Ind. Ltd., not a public SaaS product, so terms are handled by the office, not on a pricing page.
